Working Hours and Vacation Policy

  1. Policy

    1. This policy applies to all full and part-time employees at Solution Exchange.

  2. Applicability

    1. All employees, except US EMT members.

  3. Definitions

    1. None.

  4. General

    1. Vacation Policy:

      1. Vacation time accrues over the course a year at a rate of 1.25 days per month. Accrued vacation expires at the end of the calendar year, unless scheduled and extended in writing with the employees supervisor before December 31st.

      2. Taking vacation time requires advanced supervisor approval.

    2. Work hours and attendance:

      1. Exempt workers (all workers not paid by the hour) are expected to complete their work as required by the duties of their jobs. Exempt workers are not reimbursed on an hourly basis and do not qualify for overtime.

      2. For all workers, unless their offer letter states differently, the work day consists of 8 hours work time, not including a lunch break. Core work hours are considered 10:00 AM to 5:00 PM. Employees can take up to a one hour lunch break if work hours are extended appropriately.

      3. If you begin work after the beginning of the stated core work hours or leave before the end of the stated core work hours, supervisor approval is required. Example: 8:00 AM to 5:00 PM with a one hour lunch break OR 9:00 AM to 5:30 PM with a 30 min lunch break.

      4. Leaving early on Fridays and before Holidays can be arranged with your supervisor and requires that the missing hours are put in in advance or a half day of vacation is taken.

      5. Doctors appointments, or any other scheduled appointments that cannot be scheduled outside the core work hours, for employees or family members that require the employee’s presence, require advanced approval and / or vacation or sick days taken.

    3. Process for resolving tardiness or unexcused absence from work:

      1. All the rules for handling inappropriate conduct as outlined in section Employee Conduct apply.

    4. Categories of formal action include:

  5. Related Policy Provisions

    1. This policy is not intended to supersede the provisions of the Employment-at-Will policy.

  6. Exceptions

    1. Require the approval of one of the managing partners.
